A pet-accessory brand's seasonal folder can quickly mix an old harness, a current colorway and a photograph licensed for only one campaign. A reusable library needs more than tidy filenames: each asset needs a rule explaining when it is safe to use again.

Use this hypothetical harness campaign to build a manifest in your own spreadsheet or document. The manifest is a team record, not an assumed automatic feature of Popcraft.

## Give every asset a small passport

**HERO-01: real harness photograph.** Record source file, photographer, permission record, exact SKU, colorway, capture date and approved uses. Replacement trigger: buckle, stitching, logo or product specification changes. Seasonal decorations may change; the harness depiction must still match the item offered.

**FIT-02: real fit demonstration.** Record the animal and handler permissions you need, the demonstrated size and the approved fitting instructions. Replacement trigger: instructions or product geometry change. Do not reuse the shot to imply that the same size fits every pet.

**BG-03: illustrative seasonal backdrop.** Record whether it was generated, its prompt, source references and generation settings. Replacement trigger: the seasonal context is no longer relevant or the composition obscures important product detail. Keep it separate from evidence of the real accessory in use.

**CTA-04: offer card.** Record the approved wording, destination and validity period. Replacement trigger: offer expiry, stock change or a new destination. Never bury this date inside a filename alone.

Add owner, approved version and status—ready, needs review or retired—to every passport.

## Plan the next season by substitution

For an autumn-to-winter update, start with the manifest. Keep HERO-01 only if its SKU still matches. Review FIT-02 against current instructions. Replace BG-03 if useful and always reapprove CTA-04. This is more precise than copying last season's entire project.

[Popcraft Canvas](https://popcraft.ai/canvas) can support assembling creative elements. Its [recorded node history](https://popcraft.ai/forum/news/canvas-updates-compare-ai-models-recover-results-and-edit-v-0jha) helps revisit saved work, but it does not replace your external permissions and expiry records.

Before export, check that an illustrative setting has not become a performance claim. Snow around a harness does not establish cold-weather suitability; a generated running scene does not demonstrate strength. Use approved real evidence when such claims matter. Archive the finished export with the manifest version so the team can later identify exactly which sources and permissions supported it.
